Instructions for Using the New File Manager

You can click on any images below to open them in a bigger pop-up. You can also hover over the left and right-hand sides to swipe through each set of images.

Step 1:

To adjust the files on the site, you will need to login to the backend and visit the ‘Media Library’ in the black LH column (see pink arrow).

The folders in the grey LH column (see orange arrow) are how the files are sorted on the site. You can click on a file to view the documents currently published.

To upload new files you can select the folder you want it to be in, then drag and drop the new file into this window to upload it, or select ‘Add New Media File’ (see green arrow) to choose a file from your computer.

Note: Your file will need to be correctly named before uploading it.

If you accidentally upload your new file to the wrong folder, you can simply click and drag the document (see blue arrow) into the right folder.

Once you have uploaded the new file, you can click on it to open a pop-up window. In here you will need to make sure the ‘Title’ is correctly named as this is what will show on the live site (see pink arrow in second and third images).

It should match the name of the file. If in doubt, simply view one of the existing documents and name it in the same way, just with the new content.

In this window, you can also rearrange which folder it lives in (see green arrow in second image).

Step 2:

If you wish to replace an existing file, there are two ways you can do this.

Option 1 – New File Name (Reccommended)

You will need to locate the file in the relevant folder, then click on it to open the pop-up window. You can then click ‘Upload a new file’ (see orange arrow in first image) which will open a new window.

PLEASE NOTE: before you upload the new file, make sure it is named correctly. E.g. if it already exists as ‘HSEQ SWMS-000 Template’ then the new version should be named ‘HSEQ SWMS-000 Template 2′ or ”HSEQ SWMS-000 Template v2’. If the file has the same name as the existing one, it will not recognise the new file and will keep the old version.

In this new window, you can either drag and drop your new file into the ‘New’ box or you can click on the box to select a file from your computer (see pink arrow in second image).

Then make sure that ‘Replace the file, use the new file name, and update all links’ is ticked (see orange arrow in second image) and ‘Replace the date with the current date’ is ticked (see blue arrow in second image).

You can then upload the new document (see green arrow in second image).

Option 2 – Keep the Existing File Name

You will need to locate the file in the relevant folder, then click on it to open the pop-up window. You can then click ‘Delete Permanently’ (see blue arrow in third image).

You can then drag and drop the new file with the same name as normal into the correct folder.
